Before you dive in: The examples in this guide are meant to spark ideas, not prescribe a one-size-fits-all setup. A few things worth knowing as you build your icon strategy:
- Custom fields come first. Many of the triggers described here require a custom field to exist in Settings > Client Fields. If the field doesn’t exist yet, the trigger won’t fire.
- Triggered icons are automatic. Manual icons are manual. These are two separate modes in PocketSuite and they’re mutually exclusive. An icon with a trigger cannot be applied by hand, and an icon without a trigger can only be applied by hand.
- Icons and Smart Campaigns work together, but separately. Icons flag the client. The campaign sends the message. Setting up an icon doesn’t automatically activate a campaign — each needs to be configured on its own.

In home services, the job briefing is the equivalent of a check-in, and it’s the most critical moment for preventing on-site surprises. Icons on the booking record give dispatchers and crew leads everything they need to send a fully informed team to every job, without a phone call.
- Access code or entry instructions: “Access notes” field is not empty. Crew checks the code before arrival, not while standing at a locked gate with a client on the phone.
- Pet on premises: “Pets on property” is “Yes.” Crew confirms gate and door protocols before pulling up. Not after.
- Hazardous materials flagged: “Hazardous materials” field is not empty. Safety review completed before the truck is loaded. Required PPE identified in advance.

- Upsell opportunity: Applied based on prior visit notes or intake details. A client whose last HVAC service flagged aging equipment, or whose landscaping notes mentioned an interest in irrigation, is a natural candidate for an add-on conversation on the next visit. Tag it in the briefing so the tech can raise it naturally, not as a cold pitch.
Stage 3b: On the Job
Give Every Technician What They Need Before They Arrive
For home services, the active client phase is the job itself. Icons on the booking record should surface the information that changes how your technician approaches the property, not just who to call if something goes wrong.
- Hazardous materials flagged: “Hazardous materials” field is not empty. Safety review required before work begins, not after a crew member has already been exposed.
- Equipment on site: “Client-owned equipment” field is not empty. Technician knows what to expect and whether to bring their own before loading the truck.

Stage 4: Nurture
Build the Long-Term Relationships That Drive Referrals

- Special access instructions: Reconfirm on return. Codes change, gates get added, and properties get renovated.
